How to Switch PEOs
A step-by-step plan for changing PEOs without payroll or benefits gaps.
Switching is common when service, cost or platform stops fitting. A clean move takes planning, usually 60 to 90 days.
Steps
- Read your current contract for notice period, termination fees and data access. See contract terms to check.
- Collect quotes from two or three providers and ask for an implementation timeline.
- Time the move for a benefits renewal or quarter start to limit deductible resets.
- Request payroll history, year-to-date wages, tax account details and employee records from your current PEO.
- Confirm who files final quarterly and year-end tax forms for the period you were with each PEO.
- Tell employees early about benefit carrier, ID card and portal changes.
Questions
Can I switch PEOs mid-year?
Often yes, but it can reset health plan deductibles and out-of-pocket accumulators, so many companies switch at a plan renewal or the start of a quarter.
Will my employees' pay be interrupted?
It should not be if the cutover is planned. Agree on a payroll cutover date, tax account transfers and benefits start date in writing.
